How to make a prompt copy

- A prompt copy is the bible of the show
- The stage manager makes it and keeps it updated throughout the performance
- It should include the script, contact details for the cast/crew, important documents (insurance, contracts, hire agreements, etc.), cue sheets, and anything else that is useful to the SM
- The script is usually pasted into a scrap book, with each page of the script laid out, alternating with a page for note-taking
- The note-taking pages are usually columned off, one column for blocking (movements), one for lighting cues, and one for sound cues. Additional columns can be added for other things, like special effects cues
- Always use pencil to mark notes! Directors are known to be changeable
The first pages of the prompt copy should have:
- A legend of the shorthand (ie. EXT = exit, SL = stage left, and so on)
- Props, set and/or character breakdowns for each scene
- Pre-show checklist

The prompt copy should be legible at all times in case of emergency and another SM is called in to take over, as well as for restaging or archival purposes
Now you have the basics, paste your script into the book, with each page of the script alternating with one blank page
Divide the blank page into three columns, one for blocking, one for lighting cues, and one for sound. Add more columns if there are special effects or other cues needed to be recorded
Underline or highlight the cue in the script, and draw a line from it to the blank page opposite. Write a cue/blocking instruction/note on the blank page. It helps to highlight and colour-code cues (highlighting makes it easier to follow in dim bio box/backstage light)
Notate a cue on both the script and the blank page (where you just drew the line to), with the type of cue (ie. lx, sfx, etc.) and the cue number. Draw a circle around the type/cue no. for easy reference
Add a post show checklist and any other notes. I find the last pages in my scrap book an incredibly handy place to:
a) make notes during the show for cast/crew, or just myself
b) make a 'to do' list for before/during/after the show
c) make a list for bump out and where relevant props/sets need to be returned
d) keep a time log of when acts start/finish
